Position Summary
We are seeking a Trust Advisor to join a Fiduciary Services team supporting Trustees and clients across a wide range of complex trust administration needs. This role is ideal for a proactive, solutions-oriented professional who brings strong technical knowledge, excellent client service skills, and the ability to work independently in a fast-paced fiduciary environment.
The Trust Advisor will administer trusts and estates, coordinate with clients and external advisors, and help ensure fiduciary matters are handled accurately, efficiently, and in alignment with governing documents and applicable regulations. A high level of discretion, attention to detail, and sound judgment is essential.
Key Responsibilities
Trust & Estate Administration (Complex Fiduciary Matters)
- Administer complex trusts, estates, and related fiduciary matters in accordance with governing instruments and fiduciary standards.
- Review trust instruments and address probate, fiduciary, tax, retirement plan, and estate planning considerations as they arise.
- Manage lifecycle events including account openings, distributions, terminations , and administration related to death, gifts, and GST matters.
- Support gift-related administration and workflows, including coordination for gift tax return processes where applicable.
Client & Advisor Relationship Management
- Serve as a primary point of contact for clients, attorneys, tax preparers, and external advisors , ensuring responsive communication and effective coordination.
- Handle sensitive and complex matters with professionalism, clarity, and discretion.
- Provide timely updates and document key decisions and next steps to ensure aligned execution across stakeholders.
Cross-Functional Partnership & Project Support
- Lead or support projects assigned by the Head of Fiduciary Services; partner closely with Client Services and internal departments to execute deliverables.
- Coordinate across internal stakeholders to ensure trust administration is accurate, compliant, and client-ready.
- Maintain strong documentation and follow-through to support consistency and risk controls.
Process Improvement & Fiduciary Risk Management
- Contribute to continuous improvement initiatives, training, and development of repeatable fiduciary workflows.
- Support fiduciary risk management practices through accurate documentation, issue escalation, and adherence to internal policies and procedures.
- Maintain exceptional attention to detail while managing multiple priorities and confidential information.
Required Qualifications
- 7+ years of trust administration experience within a fiduciary services, private wealth, trust company, or similar environment.
- Demonstrated success in a client-facing advisory setting with the ability to manage sensitive, high-stakes matters.
- Strong technical and systems skills, including Excel, Word , and familiarity with portfolio/accounting platforms (e.g., Sungard AddVantage ), ProFx , and estate planning tools.
- Exceptional judgment, communication skills, follow-through, and attention to detail.
- Self-starter with a strong work ethic, “can-do” attitude, and commitment to accuracy and deadlines.
Preferred Qualifications
- CTFA designation strongly preferred (or willingness to obtain within an agreed timeframe).
- Experience supporting complex administration events (death claims, gifts, GST considerations, retirement plan-related trust issues).
- Familiarity with fiduciary operational controls and risk frameworks.

- Identify early opportunities to improve workflow efficiency and strengthen fiduciary controls.
- Establish a dependable operating cadence with Client Services and internal partners.
