Paralegal | Real Estate & Transaction Support | NYC


Position Summary


We are seeking a highly organized, proactive Paralegal to serve as the primary in-house legal support in a growing platform. This role partners closely with development, commercial, and finance teams and coordinates day-to-day with outside counsel. It is a hands-on, fast-paced position ideal for someone comfortable operating independently, managing multiple workflows, and supporting real estate and transaction execution with strong attention to detail.

The Paralegal will support both project-level and portfolio-level matters, ensuring clean document execution, organized records, and reliable compliance tracking. Candidates with experience in development-stage real estate, energy, or infrastructure environments are especially well aligned.


Key Responsibilities


Transaction Support & Closing Execution

  • Support project-level and portfolio-level transactions, including preparation of exhibits, schedules, and closing materials.
  • Manage execution workflows for real estate and transaction documents, including signature packages, final versions, and filing readiness.
  • Maintain document control to ensure version accuracy, audit-ready records, and consistent storage practices across matters.


Real Estate Document Management & Recording (NY / IL Focus)

  • Coordinate recording of land agreements and related documents, including options, leases, easements, memoranda, amendments, and other instruments—primarily in NY and IL.
  • Organize and track final filings, ensuring proper completion, receipt confirmation, and accessible recordkeeping.
  • Maintain trackers of recorded documents and associated supporting materials.


Contract Administration & Compliance Tracking

  • Track contract compliance obligations, including key dates, notices, extensions, insurance requirements, and payment obligations.
  • Summarize key contract terms, obligations, and risks for internal stakeholders to support operational follow-through.
  • Maintain centralized trackers and status reporting to ensure deadlines and deliverables are met consistently.


Entity Management (LLCs) & Corporate Maintenance

  • Manage project-level LLC formation and maintenance, including EIN requests and annual compliance needs.
  • Coordinate required corporate records, filings, and documentation to keep entities in good standing.
  • Support internal stakeholders by keeping entity records accurate and easily accessible.


Title Support & External Coordination

  • Support title processes including ordering title commitments and coordinating with title companies and counsel.
  • Serve as a primary point of contact with outside counsel on real estate matters, ensuring efficient communication and clean handoffs.
  • Help coordinate diligence workflows by organizing, distributing, and tracking requested materials.


Templates, SOPs & Process Improvement

  • Maintain and improve legal templates, trackers, and SOPs to strengthen consistency and efficiency.
  • Identify opportunities to streamline workflows, improve document hygiene, and reduce cycle time across transaction processes.


Required Qualifications

  • 4–10 years of paralegal or legal support experience in real estate and/or commercial transactions.
  • Proven experience managing transaction documentation, execution workflows, and closings.
  • Strong contract administration skills, including compliance tracking and deadline management.
  • Familiarity with real estate documentation and recording procedures.
  • Highly organized, detail-oriented, and able to manage multiple workflows independently.
  • Advanced Microsoft Word skills, including formatting, redlining, and version control.
  • Strong written and verbal communication skills; comfortable coordinating with outside counsel.
  • Experience working in a lean, fast-paced, or high-growth environment.


Preferred Qualifications

  • Experience in energy, infrastructure, or development-stage real estate environments.
  • Paralegal certificate (preferred, not required).
  • Familiarity supporting title diligence and real estate closing processes across multiple jurisdictions.

What Success Looks Like (First 90 Days)

  • Establish reliable document control standards and improve consistency across trackers and filing systems.
  • Take ownership of recording and compliance workflows for NY/IL land agreements with timely, accurate execution.
  • Build strong working relationships with internal teams and outside counsel through clear communication and responsiveness.
  • Improve visibility into key contract dates, notices, and deliverables—reducing risk of missed obligations.
  • Identify and implement 2–3 workflow enhancements that reduce cycle time and improve transaction readiness.
